Personal Trainers: How to get started with Hnry

Ready to say goodbye to spending hours on financial admin? Welcome to Hnry!

We sort your taxes, so you’re free to focus on the fun stuff – like actually working with clients. No more worrying if you have enough set aside to cover tax bills, no more extra fee for an accountant, and no more spreadsheets; Hnry does all the admin heavy-lifting for you.

Here’s how it all works – including how personal trainers can best take advantage of all the Hnry bells and whistles 🙌

Get paid through your Hnry Account

Let’s start where the real magic happens.

Every time you’re paid through your Hnry Account, we automatically calculate and deduct any tax, levies, and repayments you may owe Inland Revenue, before forwarding the rest straight to you.

Basically, we sort your tax as you go, so everything that hits your personal bank account is yours to spend!

There are three main ways to get paid through Hnry:

1. Invoicing clients

If you send invoices to clients or a facility, the easiest way to get paid through your Hnry Account is via a Hnry Invoice.

Simply click the little “+” symbol next to the “Invoices” tab in the main menu, and it’ll ask you to choose a client to invoice. If you haven’t already set up your client in the app ahead of time, you can do it at this point.

Once you’ve selected a client, you’ll be taken to a draft invoice which you can populate with your services and prices.

If you need to, you can also schedule your invoice to send at a later date, or set up recurring invoices to be sent automatically. Easy!

💡 Hnry can automatically chase up late-paying clients – politely of course! Users who turn on this feature get paid an average of eight days faster. Learn more.

2. Using Scan to Pay

Say you do casual group classes for a range of different clients, who pay as they go. In this scenario, our Scan to Pay feature makes it all super simple! You can request payment via a QR code in the Hnry App in just three simple steps:

  1. Open the Scan to Pay module on your Hnry Dashboard
  2. Input the amount you want to charge
  3. Hit “Next” to generate a unique QR code.

When your client scans the QR code, they’ll be redirected to their banking app (via our payment partner Volley’s website). Once they log in securely, they’ll see a payment confirmation screen with all the necessary information prepopulated, ready for them to approve.

💡 Neither Volley nor Hnry will be able to view or access your client’s bank account or banking details. Basically, Hnry passes your payment details to Volley, who passes it to your client’s bank, like a very secure game of financial telephone.

3. Via your Hnry Account details

If neither of these methods work for you and your clients, there’s always the option of manually sending them your Hnry Account details.

You can access your Hnry Account details via a module on your dashboard. Click “Share”, and you’ll be able to choose to forward your details via:

  • Email
  • Copying to clipboard
  • Downloading a PDF deposit slip
  • Creating and sending an invoice

Tada!

Create clients and services in the app

You can set up clients and any products/services you sell in the Hnry App. While it’s not strictly necessary, it can definitely save you time when it comes to sending out quotes and invoices!

1. Creating clients

Navigate to the “Clients” tab in the main menu, and hit “+ Client”. Enter your client’s details, hit save, and that’s pretty much it – you’re done!

Alternatively, you have the option to bulk import clients from a CSV. Click “Import from CSV” in the top right corner, and you’ll be guided through the process step by step.

If you invoice a group or organisation (for example, if you run group classes at their facility), you can add the email address of their finance contact. You can also save multiple email addresses for a single client – just add a comma after you enter each one.

2. Creating services

To add services in the Hnry App, click the dropdown arrow next to “Your profile” on the main menu. From there, navigate to “Services”.

Your Services menu will contain a default service named after your job type (eg. “Fitness instructor/trainer”). You can add new services by clicking “Create new” in the top right corner.

Raise expenses as you go

One of the biggest benefits of Hnry is that when you raise an expense in the app, we’ll manage it for you. We include all eligible expenses in our tax calculations, and pass on any tax savings in real time. How good!

The best way to take advantage of this feature is to raise expenses as you go. Here’s how:

1. Using the Hnry Business Mastercard

Every time you pay for a business expense with the Hnry Business Mastercard, it automatically raises an expense in the Hnry App.

All you need to do from there is add in a few details, take a photo of your receipt, and submit. Expense raised!

2. Raising an expense in the Hnry App

If you’d prefer not to use the Hnry Business Mastercard, you can still manually raise an expense in the Hnry App.

Click the “+” next to the “Expenses” tab in the main menu, add in the details, upload your receipt, hit submit. Done and dusted.

💡 Our team of tax experts will let you know if an expense may not be valid under Inland Revenue rules, so you’ll only ever be claiming what you’re eligible for.

Set money aside with Hnry Allocations

You can use Hnry Allocations to set aside a percentage of each pay for savings, investments, and more.

Pay off credit cards, utility bills, and outstanding tax debt; pay into your savings account, your KiwiSaver or even to our partners like One Percent Collective, Simplicity, Booster, Sharesies, and Hatch – all automatically!

📖 See how it all works in our guide to Hnry Allocations.

Never think about tax again

Hnry is designed to do your taxes for you, start to finish. That includes:

  • Calculating and paying anything you may owe to Inland Revenue, every time you get paid
  • Managing expenses as you raise them, including passing on any tax savings in real time
  • Completing and filing your tax and GST returns, any time they’re due

Basically, we’re there to help from start to finish, top to bottom. Plus, if you have any questions, you can always get in touch with our devastatingly charismatic Customer Support Team.
